Managing your GrabFood menu just got easier! With the Bulk Update feature on the GrabMerchant portal, you can create, edit, delete, and rearrange multiple items, categories, and option groups in one go. This feature is available at an individual outlet level only.

Create multiple items, categories and options groups:\n
  1. On the GrabMerchant portal homepage, go to Menu > Select store (if you have multiple stores) > Bulk update > Add items in bulk.\n

  2. Under Step 1: Prepare your files, click on .zip to download the template to work on.

  3. To create new menu items, categories or option groups, fill out the .csv template accordingly.
    šŸ“ Note:
    • Headers with an asterisk (*) (i.e. Category Name, Item Name, Price, and Available Status) are mandatory fields you have to fill.
    • Headers without an asterisk (*) are optional fields.
    • Rows 1 and 2 are headers and descriptions. DO NOT delete or overwrite rows 1 and 2. Please use row 3 onwards to fill in your menu items details.

      How to fill out the .csv template?\n
      • Category Name (mandatory):\n
        • This column cannot be empty.
        • Keep under 60 characters.
        • Input the category the item belongs to.
        • If you are using existing categories, please ensure the spelling you use is case sensitive and accurate. Failure to do so will result in the creation of a new category (e.g. inputting ā€˜fruitā€™ instead of the existing category ā€˜Fruitā€™ will lead to the creation of a new category ā€˜fruitā€™).
      • Item Name (mandatory): This column canā€™t be left empty. Keep under 80 characters, including spacing.
      • Price (mandatory):
        • Input the price of the item in local currency. Use only whole numbers without a decimal point.
        • Currency sign is not needed.
        • Only the default pricing will be updated. If you are using Custom Prices (e.g. self pick-up, delivery), you need to manually update in the app or portal.
      • Availability Status (optional, only applies to merchants with single stores. If your store is multi-store, please manage the availability status via the ā€˜inventory editā€™ upload): Indicate the availability of the item by inputting one of these three statuses (case sensitive):

      • Availability Schedule (optional): Input the name of existing scheduled availability (case sensitive). If this column is left empty, the default availability schedule (Available at all times) will be selected.
      • Description (optional): Provide a brief description of the item. Keep under 300 characters.
      • Photo 1/2/3/4 (optional): Input the file name of the photo (e.g. apple1_crop.jpg) (refer to screenshot below)
        • File name must match the corresponding image file name, including the file format (.png or .jpg only).
        • Input only one file name in each column.
        • Up to a maximum of 4 photos per item name.
        • Image requirements:
          • 1:1 width and height ratio is optimal
          • Image format: .png or .jpg only
          • Max file size limit of <=2MB per image file

        • Option group 1 (optional): Link the option groups this item is applicable for. To link multiple option groups, simply add a new column of OptionGroup (i.e. OptionGroup2, OptionGroup3, etc). You can link up to a maximum of 30 option groups for one item.

          Please input the information accurately based on this format (no spacing):
          OptionGroupName##MinSelection-MaxSelection##OptionName1:Price#OptionName2:Price

          Format structure:
          - Option group name (e.g. Size)
          - Minimum selection (e.g. 1)
          - Maximum selection (e.g. 1)
          - First option name (e.g. Large)
          - Price of the first option (e.g. 5)
          - Second option name (e.g. Regular)
          - Price of the second option (e.g. 3)
          - Third option name (e.g. Small)
          - Price of the third option (e.g. 2)
           
  4. Create a folder with all the menu item images.
    • Name the folder images (spelt in all lower case in English).
    • The file names of the images must correspond to the file names indicated in the .csv file. Please include the file format when listing the image file names in the .csv file.

  5. Create a ZIP folder with both the bulk upload .csv template and images folder.

    ZIP file requirements:
    • Max file size limit of <=200MB per ZIP file.
    • Do not include any special characters, including full stops, in the file name (e.g. name1.name2.zip is not accepted. name1name2.zip is accepted).
    • File name should be less than 200 characters.
       
  6. Return to the GrabMerchant portal and upload your ZIP file. Click on Add to menu to confirm the upload.

  7. You will see a notification that your bulk update has succeeded. In the case of a failed upload, download the .csv again and refer to the error column(s) to rectify.

Edit multiple menu items, categories or option groups:\n
  1. On the GrabMerchant portal homepage, go to Menu > Select store (if you have multiple stores) > Bulk updates > Edit items in bulk.\n

  2. Click on Download catalogue to download the file.

  3. Select the applicable items you want to download for edit and click on Download and continue bulk edit.

  4. Edit your menu items using the downloaded .csv file. Do NOT edit or remove column A (*ItemID).

  5. If there are image changes, create a folder with the latest menu item images and name it images (spelt in all lower case). For image file names, include file format for MacOS, and omit for Windows.

    • To replace a menu item image, input the new image file name in the photo column(s). Note that the file name you input here must correspond to the name of the new image file youā€™re uploading. Please include the file format when listing the image file names in the .csv file.\n

    • To delete an image, input ā€˜DELETEā€™ in the photo column field.
    • Images will not change if the photo column is left blank or if the previous image file name is retained.

  6. Create a ZIP folder with both the bulk upload .csv template and images folder.

    ZIP file requirements:
      • Max file size limit of <=200MB per ZIP file.
      • Do not include full stops in the file name (e.g. name1.name2.zip is not accepted. name1name2.zip is accepted)
      • File name should be less than 200 characters.

  7. Return to the GrabMerchant portal and upload your ZIP file. Click on Publish to confirm the upload.
